Welcome to a new year of conferences from EAN

As we move into March, we are incredibly excited to be launching the first of our new series of conferences in Sydney, our 10th Anniversary conference in that city. We still remember very clearly our first conference in 2007, held at Luna Park, as indeed all subsequent conferences have been, and the nervousness and anticipation we felt in the lead up to the conference. Ten years on, that anticipation hasn’t abated much, but thankfully the nervousness is a little easier. The title for this conference series is Creating Invaluable Partnerships and to us it marks the end of what has been almost a series within a series that started several years ago. In our 2014 conference we introduced our Skills, Tasks and Levels Matrices we had created that were the outcome of research we had conducted to look at the role specific knowledge and abilities EAs and PAs require at different stages in their careers. This was a really successful conference series as a result and what we took from these conferences, as well as from the matrices, helped form the basis for the content design of our three diploma qualifications that subsequently have been such a huge success.

After this, and based on ongoing feedback and discussions we had about certain new challenges that were facing your industry, in 2015 our focus for the conferences was on helping EAs and PAs to know how to demonstrate the great value and worth they deliver within their roles. A big part of this problem it seems stemmed from the vastly inaccurate job descriptions many people had and a lack of defined performance measurement criterion for the vast majority of people we were meeting at our conferences and training programs. Indeed, around the country,

fewer than 25% of EAs and PAs we were meeting believed they had role descriptions that came close to reflecting what they did in their roles, and even fewer any kind of performance measurement criterion that even vaguely demonstrated what they delivered in the roles.

In addition to this, over the past few years we have heard so much about the issue of rationalisation within businesses and how many organisations, unaware of the extent of the benefits their EAs and PAs deliver every day, and with no obvious way of demonstrating this, have instigated programs to cull the numbers of their assistants and set up pools of team assistants or other types of shared resources. As a result of these issues, as mentioned, in 2015 we had a focus on helping EAs to start to think about their roles in terms of value and what they deliver, relative to the needs of the business and their executive, and we had delegate participation workshops that actually looked at more traditional performance measurement criterion as well as the many fundamental issues that actually are the crux of what you do that isn’t so easy to measure - what we refer to as the intangible benefits you deliver.

2016 sees us wrap up this mini-series as we deliver the results from those investigations in 2015 around position descriptions, performance measurement and value, as well as really put the finishing touches to other resources we have developed around the concept of partnership and what it takes for EA and their executives to forge the kind of strong relationship that can enable the EA to take on the role of manager of their executive’s office. In the last 12 months we have been working on a program called the EA and Executive Partnership Model as a training course we can deliver within organisations and in this conference we share some of the ideas from that program as well as invite experts from outside to come in and talk about many of the aspects we believe are vital for EAs and PAs in developing these partnerships. So as you can imagine, this is why our anticipation is so high and why we are so excited about delivering this series of conferences. And whilst not everything we do is obviously not connected to, or about, our conferences, we hope you can also see how those conferences are so vitally important for the many other resources, guides, training programs and other initiatives we deliver. They help us to delve deeper into your roles through discussions with the speakers, the delegates and of courses the EAs and executives who participate. But they also help us to test and validate ideas that we have and to hone these based on the feedback. For years we have referred to them as thought leadership events and we honestly believe that is exactly what they are, because they help us to connect to you and the industry and reflect those ideas back for the benefits of all our members and other EAs and PAs. So here’s to our new series of conferences for 2016 and what we know will end up delivering amazing benefits for all our EAs and PAs in the coming years.

I love dogs. I've always had dogs in my life. But never at work until I started with EAN a few years back. And it was weird...at first. When Mack (the company's German Shephard) greeted me at the first job interview, I, like most couriers who deliver to our offices shrieked. But after a week I was used to this. The Company Dog. Laying on my foot. Awwww. But it didn't stop there. Insert Bailey. Bailey is our 2nd company dog. He joins Mack in making our lives more enjoyable. More random. More fun. I like to think of it as "Googlefying" our workplace without having to completely Googlefy.

Yes, yes. We know, Google. We've heard your stories, seen your pets, pictures and drooled over your cafeteria food. But unfortunately, we can't all work at the Googles, Facebooks, and Twitters of the world. What, you don't have Yoga classes?, a Nap room?, 19 Cafes or 4 Gyms? That's OK! Because the purpose of these perks, at least according to Google's "About Us" page, is simple: "Our offices and cafes are designed to encourage interactions between Googlers within and across teams, and to spark conversation about work as well as play," it reads. It's a simple philosophy, and whilst you may not be able to roll-out all of their tricks or simply have the budget for such elaborate staff-retention and motivational tools, you might have room for a company pet? Where appropriate, a company dog can add value to your organisation's culture, by giving it some life - a new artefact, a new symbol.

Pet-friendly policies in some Australian offices have made it less uncommon to work alongside pets with companies using them to boost morale at stressful times. In offices around the country, people have been sharing their workspaces with some unlikely colleagues. This article is just one example. According to one CEO, "Everyone seems happier and smiles when the dogs come around and give you a sniff. We can also see that this lowers stress levels," he said. "When things aren't going well, people give a dog a pat or take them out for a walk. So all-round a happier workplace. It lifts everyone's emotions but it also reminds us about what's important." As with any changes adjustments to your culture can be company-wide or small in their reach. But all should be fostered and carefully managed in their roll-out. If change is on your agenda, ask yourself some questions: Does the new way support your culture? Does it make sense for the environment? Will people be happier to be at work with the change? Can we name him Fido? Yes indeed - Lassie, Benji, Beethoven, Otis and Hooch are all here to stay. But please, please tell your couriers ahead of time what to expect when they arrive! Oh, and don't leave the door open ;)

Location Location Location - The City is usually the most expensive place to book an event or accommodation. A helpful tip is to try and locate a venue or hotel just outside of the City as you will generally find the prices reduced as you move further away from Sydney’s CBD.

Transport - When organising transport to a venue or hotel, it is always best to speak with the hotel staff. The staff will often be able to offer suggestions for the cheapest and easiest methods of transport, saving you time and money.

Natural Light or Non Natural Light - Event organisers always seem to struggle between selecting a function room with natural light or one that does not have natural light. An easy way to select this is by acknowledging whether the meeting or event will require a PowerPoint presentation or similar. If a presentation is required, it is always best to select a function room without natural light to ensure the presentation can be clearly seen and to avoid conference guests from gazing out the window!

Stay In Touch - Whilst it can be annoying to agree to receiving emails with special offers from an establishment, or liking their Facebook page, it is a great way to keep an eye out for special offers or competitions and keep track of what is happening at your favourite places.

In a world where most people communicate via email or through a mobile phone, face-to-face networking at an afterhours function might be the one way to connect with staff, suppliers or customers that will make your company stand out from the crowd. If it’s done right, you can rely on an event like this to generate plenty of goodwill around the company too. With that in mind it’s important to make it worthwhile when it comes to the money you’re spending. As we’re in Australia, a nation of foodies, catering has overtaken venue choice and entertainment as your most important element of the night. Food and drink should be thoroughly enjoyed and it’s a great way to indulge your attendees. Before making your food and drink order, think about what you can get for your budget then get creative with your options. Are canapés and finger food right for the occasion or you or should you offer a buffet? Do you want to wow with cocktails or keep it simple with beer and wine? Here are some helpful hints.

Calculating your catering requirements

A good formula for establishing your catering budget is taking the number of guests and the hours of the function and then calculating food and beverage consumption over that time. For example:

• 1 hour cocktail event 6 pieces (5 canapés and 1 substantial item)
• 2 hour cocktail event 9 pieces (6-7 canapés and 2 or 3 substantial items)

Substantial items may skewers with lamb or beef, gourmet pies, mini sliders, mini fish and chips in a stylish cone or noodle boxes. Then you can finish with some sweet options for dessert. As for beverages, you should plan for drinks 3 per person in the first hour, (including 1 non-alcoholic drink) and then 2 drinks for every hour after that, one being a soft drink). A bottle of wine holds 7 standard drinks. Generally men drink more beer than wine so think about your group in terms of men and women.

Deciding what to serve and how

Canapes have come a long way since the cheese and pineapple hedgehogs of yore. They are far more adventurous and a lot tastier with many people opting to serve gourmet seafood, morsels on skewers and a touch of Asian with rice paper rolls and duck pan cakes. It’s also not uncommon to attend an evening or cocktail function where everything you eat is in miniature form – sliders, mini roast beef and Yorkshire puddings, even a mini portion of Pad Thai. These days you really are spoilt for choice so don’t hold back when it comes to creativity. Another contemporary serving option you might want to consider is a grazing table. Melbourne Racing Club selected March for our new event, Gourmet Cinema, due to the general pleasant weather, and identified a need for some affordable entertainment for all the foodies around the local area. People have the opportunity to gather the family for some wholesome entertainment, while discovering culinary delights from local businesses.

Now that you have a tangible idea, time to make it real and book a venue.

Think about crowd numbers, do you need indoor or outdoor space? How close is it to your target demographic? Don’t blow that entire budget up front! Gourmet Cinema had the luxury of choosing between Mornington, Sandown or Caulfield Racecourse; we decided to go with Caulfield. Being only 15 minutes from the city and still close to the vast Eastern Suburbs, it’s a prime location for access to densely populated areas. There is a train station right out front, ample parking, huge outdoor and indoor areas and an existing infrastructure that suited our needs. Marketing Sponsorship Promotion! Which marketing mix should you use? Does your target demographic predominantly use social media? Listen to the radio? Perhaps are big magazine readers? You can also harness the social reach of facilities such as universities and Tafe’s by means of their school rag or student database. Perhaps a few of the event students could even be interested in an internship with your company? Finding sponsors, forming partnerships and alliances is also vital, ensure you have good synergy with your partnerships to add strength to your campaign, make use of all your networks!

So now you have all your permits in order and media schedule sorted what next? This is just the beginning and so many things to! Don’t take planning an event lightly; there are lots of resources when it comes to event management. Utilise your local council if you have any questions, or attend their seminars and information nights. They want you to succeed and will support their local community and business. Whether it is finding the right staff or obtaining alternate funding streams, they will have some helpful advice. What about on the day? How will your event flow? Traffic management doesn’t sound fun, but neither is entry or exit congestion on your big day! What about crowd flow and potentially if an emergency situation should arise? You should have a general idea of expected crowd numbers and as the day draws closer you can see what the weather might do, make sure you have enough cover on offer!

People will have a variety of motivations for attending your event, whether it is to see a particular person, exhibit or something to keep the kids busy.

It’s still important to have value adds, unexpected surprises and attractions that go over and above their expectations. A fantastic executive or personal assistant to a CEO, or high-achieving entrepreneur, is a gatekeeper as much as an assistant - someone who needs high-level skills in identifying priorities and resource allocation. Confidence and resilience can be the keys to an EA being the best they can be, and they are key strengths when you consider the challenges that may be faced in managing the busy schedule of a highly sought-after executive. I had the most amazing conversation with a male business leader this week, and was pleasantly surprised when he said, "I believe that woman are the ones on the leading edge who will make the necessary changes we need to see in the world".I loved what I was hearing and totally agreed with him. Men really want women to step up and lead the way for change. Women are beginning to step up and lead, which is fabulous, yet in today’s market, there is a still a demand for more women to own themselves as powerful leaders of influence. Behind closed doors, female business leaders discuss with me the challenges they are facing when it comes to stepping up and owning themselves as effective leaders in the business world. This type of conversation seems to be rising to the forefront on a global scale as we are witnessing the fast pace of life and business today with people screaming for more of a balance. What this truly means is we need to balance the evolving path of the ‘masculine action’ with the ‘feminine being’ inside each and every one of us. This is why women are being called to step-up, because we urgently need equilibrium in the world today.

Continuing on with my conversation with the male business leader, he mentioned that it’s a real shame that most women think they need to match male leadership styles to be recognised as a leader. This reminded me of a female executive leader who came to me for coaching because she wanted to be selected on the National Board representing her corporate industry. She was frustrated because she had been trying for a couple of years and could not understand why she was not being selected. She had successfully peaked representing her corporate industry in the State, and being selected for the National Board was her dream career position. She went on to tell me that everyone on the National Board was male and had been there for years. During our first conversation, it didn’t take long to recognise that she was stepping in to her masculine demeanour every time she was at the State Board meetings. I needed her to consciously witness it for herself. I suggested that she start to become conscious even before she arrived at the hotel room, the morning of the board meeting, walking in to the boardroom, her self-talk, who she became, how she spoke and the energy behind her tone of voice during the meeting, how she felt during and after the meeting, etc.

"Now is the time to step up with courage and become a leader with powerful presence. The world needs what you have to offer."

Much to her surprise she started to see who she was being as a leader, not only in the boardroom, but also in the workplace with her team and inside her relationships. She did not realise that her masculine style winning formula, which supported her in creating success in the past, was no longer working for her. She began to share with me how she had used this winning formula all her life. From being a high-achieving academic to applying herself up the company leadership ladder in her industry, she now found herself hitting the glass ceiling, wanting to take herself to the next level of leadership on the National Board. With conscious awareness she was soon able to know the difference between ‘being a leader with powerful presence’ and ‘when she was trying to prove herself as a leader’. This naturally created more of a balance between her masculine and feminine leadership style, and owning every part of herself as a leader, as an important strength to master excellence. She told me that when she stopped trying to be 'one of the men', she was then selected in to her dream position on the Board.

"Stretching yourself to be on the leading edge can be exciting and challenging at the same time. That’s when you really know you are on the right track." I am sure you will all agree that the world of business has changed and continues to evolve very quickly, and if we do not evolve through greater awareness, we will get left behind. Do not die with the champion trapped inside. It is time for women to unleash the champion within. This is not about being chauvinistic – it is about global balance of men and women stepping in to their authentic power combined, being a contributing factor in global change. Women need more airtime and the only way this will happen is when we collectively own ourselves as being the Champions of Change.
