The venue you select for events involving training should reflect the goals and the expectations you wish to achieve. If participants spend the day in a dark meeting room with basic audio-visual equipment and catering consisting of a few curled up sandwiches, they are not going to leave satisfied or inspired.
Purpose-built venues A dedicated training venue is designed with characteristics that energise and motivate participants, such as: contemporary or funky spaces that are spacious, filled with natural light; and have outdoor areas where you can enjoy a breath of fresh during break times.
Food for thought Ensure the venue offers food choices that will satisfy participants hunger, but also offer uplifting mental stimulation. Food choices should be colourful with fresh seasonal ingredients, and suit a range of dietary requirements.
Avoiding the unexpected As a cost-conscious organiser, you may want to keep the venue cost down to allow more room in your budget for a high-profile speaker or catering, but be sure to allow for possible audio-visual costs. Many venues charge for AV hire and technical support supplied through external contractors; which can significantly eat into the budget. These charges can be as simple as a lectern and microphone on stage for speakers, as well as more complicated set ups.
Therefore, it’s financially beneficial to select a venue that is purpose-built for education and training, with cutting-edge AV facilities included in the venue hire, and which can provide on-site technical support. Even with the best pre-planning, the potential for technical hiccups is always a possibility.
Professionalism First impressions count, so ask yourself: Is there a meet and greet reception area for participants when they arrive? Will the venue staff be flexible and responsive to your guests needs? Do they give you the impression they will handle your event efficiently?
Running workshops can be stressful in themselves and the last thing you need to be worrying about is whether the room will be set up as you want or if the tea and coffee will arrive on time!
Accessibility and parking Make sure the venue location is easy to get to by public transport or if driving there is a car park at the venue or nearby.
