The BDA Formula for creating a memorable event
The BDA Formula for creating a memorable event.
There’s a lot of things to consider in event planning, and plenty of resources available to guide you through the steps in staging a successful event.
But to create a truly memorable event experience for everyone involved; to genuinely “surprise and delight” someone, whether it’s a delegate or presenter, it’s important to consider the BDA - Before, During and After.
No matter the size of the event, whether it’s a small boardroom lunch, an executive conference or a convention for thousands of delegates, consider the entire experience for those involved.
So what do we mean by Before During and After? Pretty self-explanatory, right? Well, yes!
Before
From the time someone receives an invitation or becomes aware of the event, their experience begins. So think to yourself, how can you:
Help their decision
Build their anticipation
Manage their expectation
There are plenty of ways to tick these boxes through communications and products. A nurturing email sequence with the information in personalised videos is one way.
Video brochures are an innovative invitation option, mixing the physical feeling of a brochure and the engagement of video. Other products include voice cards and personalised invitations.
Getting this right will create a perfect platform for an enjoyable event experience before it has even begun.
During
This is typically where most of the emphasis lies in event planning, and for good reason. In your planning, be sure to consider the perspective of each key stakeholder.
What will a convention delegate see when they first arrive?
Is there a logical flow to your event? Think of a movie, theatre or song. There is a distinct formula that they follow, and this type of formula can be applied to virtually any type of event.
Does your keynote speaker have a thorough understanding of who’s in the audience and the challenges they face.
There are some fantastic theming options that you can customise with any type of text and imagery, to inform and entertain event participants. Media walls, portable display systems, and kiosks can all be used to make an event of any size look world-class.
After
The experience does not end when the guest walks out the door. In the days after the event this is the perfect opportunity to engage with them (you’ve hopefully captured the
necessary data on them before or during the event). Here you can provide materials and structure communications to:
So remember, no matter what event you have coming up, consider the Before, During and After from your guests’ perspective and you are guaranteed to create a memorable experience.
