Audio Visual is not considered a glamourous topic, so can often be overlooked in event management. But while screens, lighting and sound systems might not be as exciting as catering and the actual event content, if you don’t get these spot on it will have an impact on the entire event- no matter how good the morning tea is.
What do you need?
What AV services you need is always determined by how many people you will have in the audience and what type of event you will be organising. A good AV company will do a CAD drawing (floor plan) to ensure that everyone can see the screens, everyone will hear the content and that there will be enough
microphones for all speakers. It’s useful to know the purpose of the event and who will be speaking (i.e if it is the CEO) so everything can be planned accordingly for a seamless result and the right level of technology is utilised
Some No-Nos
Trying to organise the AV last minute is a bit of a nightmare. AV is an integral part of any event and should be involved from the very beginning of the planning process, as it will affect the flow of the event and even when and how the content will be delivered. Doing this last minute can increase the chance the errors
Should you have a Tech onsite during the event?
Yes, yes yes!! No matter how tech savvy you or a colleague might be, if there is an issue on the day (and let’s face it there usually is!) you will not have the time nor the expertise to fix it or come up with a viable solution. For peace of mind alone it is worth having an expert onsite to look after all things AV
Two things you can do to assist your AV provider
Time, make sure your AV guys have plenty of time before the event starts. It is crucial to set up all the gear and to test it all to make sure everything is working. Depending on the style of event, a rehearsal before the start can make or break the event also.
Information, the more information your AV provider has about the event, it’s purpose, its audience and its speakers the better job they will do. Treat them as part of your team and include them in the event planning process
If you give plenty of information and as much preparation/set up time as possible before the event, you are covered if any issues arise or any spanners are thrown
